RAG for businesses: AI connected to company data

A language model on its own answers with what it saw on the internet. A company needs answers with internal policy, product, and history — with permission and limits.

RAG stands for retrieval-augmented generation. In project language: before the model writes the answer, the system retrieves authorized excerpts from the company's knowledge base and delivers that context along with the question. Without that, AI fills the gap with confidence — the worst way to be wrong about commercial policy and customer data.

    When RAG makes sense

    • Customer service that today opens PDFs and wikis to find the same paragraph
    • Sales teams that need to use the current pricing table, not the 2023 version
    • Support that cannot invent a deadline, coverage, or procedure
    • New team members who have not memorized the process yet

When RAG is not the first step

If the question is an order status, the right answer is the ERP API, not a semantic index. If the rule is “if delay > 3 days, notify,” the right answer is automation. RAG shines on text and policy. Transactional data lives better in a system.

What needs to exist besides the model

Documents need clear owners, defined indexing criteria, access permissions, updates when files change, and a working path for the model to say “I don't know” and hand the conversation to a person. The solution also needs storage, an index database, an API and the same production discipline as any other application.

Is this the same as “training a model”?

Almost never. Fine-tuning is expensive, slow to update, and easy to get wrong. RAG keeps the generic model and swaps the context. For most companies, that is the right design for “AI with private data.”

How this shows up in customer service

The WhatsApp agent can consult the knowledge base before answering about hours, product, or policy. If the excerpt does not exist, it does not invent: it routes. That combination — official channel, CRM, and knowledge base — is the opposite of a chatbot that only has a welcome message.

Want an AI that consults what the company already knows?

Documents, catalogs, and customer-service rules can become controlled context — not a public chat with the board's files.
